Understand quantities, rounding, discounts and tax calculations before printing an invoice.
Understand the settings
An invoice describes who is charging whom, what was supplied, the amount due and how to pay. Enter your own sender and recipient details, an invoice number you can track, and issue/due dates. This builder is a document calculator; it does not establish tax obligations, send payment requests or store a customer database.
Each line has a description, quantity and unit price. Quantity and price accept up to two decimal places. The line amount is rounded to the nearest minor unit, with halves rounded up. The subtotal is the sum of those rounded lines. A fixed discount is subtracted next, and the selected tax percentage applies to the discounted subtotal.
The supported currency labels use two decimal places. Selecting EUR instead of USD changes the label, not the amount: there is no exchange-rate conversion. Keep one currency throughout the invoice. The tool uses integer arithmetic for money so familiar decimal prices do not accumulate binary floating-point artifacts.
Step by step
- Enter sender, recipient, invoice number and dates.
- Add one item per charge, with a clear description, quantity and unit price.
- Set a fixed discount and the applicable tax percentage if appropriate. Confirm the tax treatment independently for your circumstances.
- Update the preview and verify each line and the total.
- Download a JSON draft for later changes or print/save a PDF for delivery through your own email or accounting workflow.
Check the calculation
For 2.5 units at 40.00 and one item at 20.00, the subtotal is 120.00. A 5.00 discount gives 115.00 before tax. At 5%, tax is 5.75 and total is 120.75. The example button loads these fictional values so you can reproduce the calculation.
Limits and what to check
- Non-negative values only; discount cannot exceed subtotal. Tax is 0–100%. Up to 30 line items.
- No payment collection, recurring invoices, currency conversion, automatic numbering or tax filing.
- Drafts and previews stay in your browser. There is no automatic saving.
- For credits/refunds, multi-rate taxes, zero-decimal currencies or legally prescribed invoice formats, use suitable accounting software.
Troubleshooting
The total differs from another system
Compare whether that system rounds each line or only the final total, and whether it applies tax before or after discounts.
I need to change a saved PDF
Load the JSON draft, edit it, and print again. This builder cannot import a PDF back into fields.
The invoice spans multiple pages
Check print preview and shorten long descriptions if necessary. Table headings repeat where supported by the browser.
